Housing Warning

Please beware of aggressive housing bureaus that target potential participants of a meeting. They are sometimes called "room poachers" or "room-block pirates" and these companies generally position themselves as a meeting's housing bureau, convincing participants to unknowingly book outside the official room blocks. They call people who they think will more likely than not attend a meeting and lure them with room rates that are significantly less than the published group rate -- for a limited time only. People who find this offer tempting may hand over their credit card data, believing they have scored a great rate and their housing is a done deal. Unfortunately, this often turns out to be the start of a long, costly nightmare.

Note that some of these room poachers create fake websites on which they represent themselves as the organizers of the meeting and include links to book rooms, etc. The only official website for this meeting is ams.org and one that has the official AMS logo.

These housing bureaus are not affiliated with the American Mathematical Society or any of its meetings, in any way. The AMS would never call anyone to solicit reservations for a meeting. The only way to book a room at a rate negotiated for an AMS Sectional Meeting is via a listing on this site. The AMS cannot be responsible for any damages incurred as a result of hotel bookings made with unofficial housing bureaus.

Food Services

On Campus:

There are some food services on and near campus. We are currently looking into making available for lunch on Saturday The Underground food court located in Wescoe. Downtown Lawrence has a large variety of restaurants along Massachusetts street. Nearer to hotels are some restaurants near 9th and Iowa Street. Fast food franchises can be found along 6th street. Free, local bus service is available on Saturday. Coffee will be provided at the conference site. Morning pastries will be available. There are vending machines that provide iced coffee, bottled water and some Pepsi products.

Mrs. E's - Lewis Hall, 1532 Engel Rd. – Several options of food including grab-n-go meals, beverages, and salty snacks. Open 9:30 am-2:00 pm.
Wendy's - Kansas Union, 1301 Jayhawk Blvd. Burgers, Salads, Baked Potatoes and beverages. Opens at 10:00 am on Saturday.
Chick-fil-A–Kansas Union - 1301 Jayhawk Blvd. Serving chicken sandwiches, salads, beverages, and side dishes. Open on Saturday 10:00 am-6:00 pm.

Registration and Meeting Information

This meeting is being planned as an in-person meeting only. Virtual options cannot be accommodated. We apologize for any inconvenience this may cause.

In an effort to spread the cost of the sectional meetings more equitably among all who attend and hence help keep registration fees low, you must be registered for a sectional meeting in order to submit an abstract for that meeting. You will be prompted to register on the Abstracts Submission Page.

In the event that your abstract is not accepted or you have to cancel your participation in the program due to unforeseen circumstances, your registration fee will be reimbursed.
Program booklets will no longer be provided for the sectional meetings. However, the most updated program information will be at your fingertips with the Meeting Mobile App and the links to the program pages that will be available on ams.org.

Register online and follow these steps:

After clicking on "Register," you will be asked to enter your email address, and then log in to your account, or create a web account if you do not already have one. This only requires a username (email address), password, name, and address. If you already have a web account with us, please log in with your username (email address) and password. Please make sure that the email address that you are using is current, as we will send any pertinent updates to this email.
Once you create and/or login to the account, continue on to register for the meeting. The same username and password may be used to register for all future sectional meetings.

Registering someone else: If you are planning to register someone else, verify that that person has an AMS web account. If they do not have a web account, please have them go to Register for a web account, or email AMS Customer Service to create one. You do not have to be a member to have an AMS web account. It is also possible that an AMS member does not have a web account, if they have never shopped at our bookstore, or registered online for a meeting. Ask for the email address associated with their web account, and use this to register them. When you click on the registration form, choose "Register Someone Else." Please first login with your personal AMS web account. If you do not have one, please create one. Enter the email address associated with your account, and then your password. If will ask you if you want to register someone else, or yourself. Click "someone else," and enter the email address belonging to the person’s web account. Click on the green box that says "Check." Choose the person, and continue the registration.

We hope that you will find this system easy to use. Once your information is in our system, you will not have to enter your information for any future sectional meetings, unless it has changed, thus making your registration faster and easier. Cancellations: Participants may cancel registrations made in advance by emailing the Mathematics Meetings Service Bureau. 100% refunds will be issued for any advance registrations cancelled by the end of the day (11:59 EDT) on March 28, 2025. After this date, no refunds will be issued for this meeting. However, if the AMS cancels this meeting or converts it to a virtual meeting with different fees, 100% refunds will be issued to every registered participant.

Room Locations Onsite

Registration Desk: The registration desk will be located on the campus of the University of Kansas in Wescoe Hall (WES), on the 4th floor near Room 4010. The address of the Wescoe Hall is 1445 Jayhawk Blvd, Lawrence, KS 66045. Attendees should enter the Wescoe Building from the front of the building facing Jayhawk Bouldvard (West Entrance). Please take the elevator or stairs to the registration desk on the 3rd floor.

The registration desk will be open on Saturday, March 29, from 7:00 am to 4:00 pm and Sunday, March 30, from 7:30 am to 12:00 pm. The same fees listed above apply for registration during the meeting and are payable with a credit card. Please note that only online registration will be available, both before and during the meeting. If you register by March 25, you may pick up your pre-printed badge at the desk. After this date, please show your receipt at the registration desk, and there will be materials to make a badge.

The AMS book exhibit and coffee service will be located in Wescoe Hall, on the 4th floor near Room 4010. Special Sessions and Contributed Paper Sessions will take place in classrooms in Wescoe Hall. The Invited Address lectures will take place in the George R. Waggoner Auditorium in Wescoe Hall on the 3rd Level in Room 3139. This auditorium can also be accessed from an exterior door facing the Jayhawk Building.

All Gender Restrooms: The all-gender restrooms will be found in Wescoe Hall (WES) near the George R. Waggoner auditorium on the 3rd floor.

Other Activities On-Site

Poster Session: We encourage everyone (undergraduate, graduate students, post docs, and faculty) to participate in the AMS Poster Session to be held Saturday, March 29, 2024, 6:30-7:30 p.m., on campus at the Jayhawk Welcome Center. A reception for all conference participants will be held simultaneously at the same location.

All poster presenters will be provided a 36"H x 48"W foam display board and push pins. One poster per individual. You must be present for the Poster Session. Any posters left after the conference will be disposed of.

Welcome Reception: All participants are invited to a reception hosted by the KU Department of Mathematics on Saturday, March 29, 6:30-8:00 pm held on campus at the Jayhawk Welcome Center. The Poster Session will be held simultaneously in the welcome center. Please join us for refreshments and a cash bar.

Well-Being Protocols

Due to the ending of the COVID-19 Public Health Emergency Declaration on May 11, 2023 and newly released COVID-19 guidelines in 2024 by the CDC, the following protocols are in place for this conference:

Participants, including staff and volunteers, are no longer requested to be vaccinated or tested.
Wearing a mask is optional and will be based on individual comfort levels. Extra masks will be available at the registration desk, while quantities last.
If anyone has been exposed to COVID-19 within 72 hours of coming to the meeting, they should wear a mask throughout the conference.
If anyone tested positive for COVID-19 within 72 hours before coming to the meeting, they should come to the meeting only if they have been fever-free and have improved symptoms 24 hours before coming, and agree to wear a mask throughout the conference.
If anyone tests positive for COVID-19 during the meeting and have a fever, they should isolate in their room until they are fever free and have improved symptoms. They should also agree to wear a mask throughout the conference.

Child Care Grants

The AMS will provide a limited number of reimbursement grants of US\$125 per family to help with the cost of child care for registered participants at the meeting. The funds may be used for any form of child care that frees a parent to participate more fully in the meeting. Grants will be awarded on a first-come, first-served basis, one per family, and one per season (i.e. Spring or Fall), the latter depending on the amount of grants available. Registration for the meeting as well as membership in the AMS is required to apply for this program.

See information about applying for child care grants. Applications will be accepted on a first-come, first-served basis until February 4, 2025. Apply for a grant. Final decisions on recipients will be made on or before February 25, 2025.

Special Needs

AMS Policy on a Welcoming Environment

The AMS strives to ensure that participants in the Sectional Meetings enjoy a welcoming environment. In all its activities, the AMS seeks to foster an atmosphere that encourages the free expression and exchange of ideas. Harassment is a form of misconduct that undermines the integrity of the AMS, and its activities and missions.

The AMS will make every effort to maintain an environment that is free of harassment, even though it does not control the behavior of third parties. A commitment to a welcoming environment is expected of all participants of AMS activities, including mathematicians, students, guests, staff, contractors and exhibitors, and participants in scientific sessions and social events. To this end, the AMS will include a statement concerning its expectations towards maintaining a welcoming environment in registration materials for the Sectional Meetings, and has put in place a mechanism for reporting violations. Violations may be reported confidentially and anonymously to 855-282-5703 or on the website. The reporting mechanism ensures the respect of privacy while alerting the AMS to the situation.

MathSafe

MathSafe is a program by and for the mathematical community to support safe and welcoming meetings. MathSafe volunteers will be available at the meeting to listen to and guide participants who experience harassing behavior.

Code of Conduct

The Code of Conduct (Code) applies to all participants at all American Mathematical Society (AMS) conferences, meetings, events, and other organized activities regardless of location or the capacity in which a person is attending, be it as an organizer, delegate, speaker, sponsor, exhibitor, or in any other capacity. Participants are expected to uphold the principles set out in the Code at all times during the event.

Broadcasting, Photographing, and Videotaping Policy

The recording or broadcasting of any AMS or joint-sponsored event, talk, and session by any other party is strictly forbidden without the explicit written permission of the AMS Executive Director or AMS Director of Meetings and Conferences. To obtain permission, send your request by email to Meetings to the attention of the AMS Director of Meetings and Conferences. Having submitted a request form does not constitute temporary authority, and approval will not be given orally. Please allow sufficient time for the approval process to be completed. Allow at least two weeks from time of receipt of request by AMS.

Photographs and videos of meeting interactions will be taken by professional photographers and videographers hired or arranged by AMS. These photographs and videos may occasionally be used for publicity purposes. By participating in the Sectional Meetings, participants acknowledge that their photograph or a video that includes them may be published in material produced by the AMS. AMS shall not be responsible for unauthorized photographs, videos, or other images not taken by professional photographers hired or arranged by the AMS.

Under no circumstances will anyone be permitted to take pictures or videos of a single person without that person’s permission.

Travel Grants

Applications for any one of the spring sectional meetings will be accepted and considered as a group. This program accepts applications from current full-time doctoral students at North American institutions. Sectional travel grants will only be awarded once. See more information.

Wi-Fi Network

KU offers a guest wireless network, KUGUEST. You can access this though your wireless devices by selecting KUGUEST from your network control panel. KU is also a member of the eduroam network. Parking

The conference will be held on the University of Kansas campus in Wescoe Hall. The Mathematics Department is in Snow Hall. Campus parking is available behind Snow Hall and nearby parking lots. Parking is open and free on Saturday and Sunday. There are two parking garages, each about a 10-minute walk from Snow Hall. (You have to pay to park in the garages.) Travel

By Air

Kansas City International Airport (MCI) is about 52 miles from the campus and is the most convenient air travel choice. By car, it takes approximately 45 minutes to get to the university from Kansas City International Airport. Ground Transportation

There are several options available for transportation to and from the airport. Travelers can find ground transportation information by visiting Fly KC Transportation.

Directions to Campus

For directions to campus please enter 1450 Jayhawk Blvd, Lawrence, KS 66045 into your GPS or web browser. Walking, biking, public transportation, ride share, and personal cars are recommended to get around campus and Lawrence. By Train:The Amtrak station is located at 413 E. 7th Street, Lawrence, KS, 66044. Here is the link to the Lawrence train station.

By Bus:The Greyhound Bus drops off at 707 Vermont Street in Lawrence. Lawrence Transit provides local bus services throughout downtown Lawrence and to campus. See maps and schedules. Free bus service is available on Saturday between campus and downtown. Be sure to check the bus schedule for the dates you will be there.

Ride Share: Other local transportation options include Uber and Lyft.

Weather

The weather in Lawrence in late March is mild, with an average high in the upper 60's Fahrenheit (around 18 degrees Celsius) and an average low in the mid 40's Fahrenheit (around 4 degrees Celsius). Visitors should check weather forecasts in advance of their arrival.

Information for International Participants

Visa regulations are continually changing for travel to the United States. Visa applications may take from three to four months to process and require a personal interview, as well as specific personal information. International participants should view the important information about traveling to the U.S. If you need a preliminary conference invitation in order to secure a visa, please send your request to the meeting specialist.

If you discover you do need a visa, the National Academies website provides these tips for successful visa applications:

Visa applicants are expected to provide evidence that they are intending to return to their country of residence. Therefore,applicants should provide proof of “binding” or sufficient ties to their home country or permanent residence abroad. This may include documentation of the following: Family ties in home country or country of legal permanent residence, property ownership, bank accounts, or an employment contract or statement from employer stating that the position will continue when the employee returns.
Visa applications are more likely to be successful if done in a visitor’s home country than in a third country.
Applicants should present their entire trip itinerary,including travel to any countries other than the United States, at the time of their visa application.
Include a letter of invitation from the meeting organizer or the US host, specifying the subject, location and dates of the activity, and how travel and local expenses will be covered.
If travel plans will depend on early approval of the visa application, specify this at the time of the application.
Provide proof of professional scientific and/or educational status (students should provide a university transcript).
